February 19-21, 2016
Hyatt Regency Hotel
San Francisco Airport
We are a convention for all ages, and we need to ensure the safety of all attendees. These necessary rules, guidelines, and policies ensure that everyone can have a fun time.
During the convention, most issues can be resolved by visiting Convention Operations in Boardroom III on the Atrium Level of the Hyatt Regency Hotel. If you need more immediate help, any convention staff will be able to assist, or will know who to contact to resolve your issue. If there is a medical or life-threatening emergency, call 911.
All AOD attendees, exhibitors, guests, press, staff, and everyone else at the convention, must abide by the Rules, Guidelines, and Policies laid out on this page. AOD may take action if any of these rules are broken, or if there is any behavior not covered here that AOD or the hosting venue reasonably consider to be disruptive. Failure to abide by the rules may result in disciplinary actions including verbal warnings, revocation of badges, ejection from convention grounds, and exclusion from future AOD events. Revoked badges are not refunded.
Stay hydrated and eat well! You'd be surprised how many people get sick because they think nonstop sugar is a balanced diet. Don't ruin your weekend by forgetting to take care of yourself.
Obey Hotel Rules and be aware that not everyone at the hotel is here for AOD. The hotels have the following policy regarding noise in the hotel rooms: If there is a complaint about your room being noisy, you will be given one official warning. After that, if there are further complaints, all guests not officially staying in the room will be asked to leave. In extreme cases, hotel security and/or the police will be summoned. You really don't want that.
Absolutely no signs may be carried or displayed without prior approval by Convention Operations. No exceptions. Signs offering or soliciting any sort of service or compensation, or signs of an offensive nature, will not be approved or allowed. Convention Operations are located in Boardroom III on the Atrium Level of the hotel. Only approved signs may be carried. All rulings by Convention Operations are final. Signs that are not approved must be stored in your room or car or be subject to confiscation.
Absolutely no harassment. Never, ever, ever touch another person or follow them around without their consent. Both are forms of harassment. Before touching anyone, ask for permission first. If they say no, leave them alone and go away.
Attendees may not bring animals other than service animals into the convention space.
Absolutely no functional weapons are permitted on convention grounds, except those specifically permitted by California law (e.g. on-duty badged law officers). Absolutely no concealed weapons of any type are allowed. All costume weapons are permitted ONLY if inspected and approved by Prop Check in the Lower Foyer of the hotel. All inspected and approved weapons will be visibly "peace-bonded".
Only obvious costume, prop, toy, and replicas of weapons will be approved. Non-sharpened or wooden or practice swords MAY be approved if bound into their scabbards or belts. Items such as walking sticks or canes may be carried without being peace bonded. However, AOD staff may deem at any time an item to be a weapon, and thus subject to the weapons policy.
Attendees are responsible at all times for use of their costume weapons, even ones peace-bonded. Absolutely no horseplay or mock fighting will be permitted. Costume weapons may not be brandished or used threateningly, even if only acting. Safety is our goal.
Photos and videos by attendees are allowed in all common areas of the convention. However, each event may have its own specific rules regarding Photography during that event. If this is the case, you will be notified when the event begins, and that policy overrides this one.
Ask permission before photographing or filming others. Please respect their wishes. Any photography or videography for commercial purposes is forbidden unless written permission has been previously obtained from Convention Operations. Attendees may take photos and video or other recordings for private viewing or sharing with friends.
Attending AOD implies consent to be recorded or photographed for press or promotional purposes without notification or compensation. This means that if you're at AOD, your image may appear online or in print publications.
All attendees are very welcome to wear costumes. However, all outfits, costume or otherwise, must be "decent" -- this is a family event. When choosing your costume, please consider that there are young children at both the convention and hotel. If a judgement call is needed, AOD Staff have the final decision.
Costumes with large pieces (such as wings, armor, etc.) may not be worn in the halls. They block traffic and create a fire hazard -- please save these costumes for the Masquerade.
If, at any time, convention staff finds your dress or costume in violation of these rules or inappropriate in any way, you will be asked to change out of the costume. Failure to comply may result in disciplinary action, as detailed above.
We understand that unforeseen circumstances do occur, and there are times when you may need to cancel your pre-registration. In this event, please contact AOD Registration Staff and explain the situation, and they will issue you a full value credit towards registering for future events. To redeem your credit at a future event, once Pre-Registration has opened for that event, please contact AOD Registration staff and they will credit your account appropriately.
Lost and Found is located at Convention Operations. Missing items can frequently be found there. Unfortunately, AOD cannot replace any badges which have been lost, damaged, or destroyed; however, found badges are often turned in to Lost and Found. If the convention has ended, Lost and Found can be contacted Online.
AOD makes every effort to ensure the accuracy of the Event Schedule, and ensure that every event occurs as scheduled. However, last-minute changes do happen. So, as much as we'd like to, we cannot guarantee that events will occur exactly as scheduled. If the schedule does change, we immediately issue updates on our website, at the Information Desk, and at the Event location itself, so please check these sources before Events start. Thanks for your understanding.
AOD may amend, clarify, add to, or update these rules at any time. The latest revision is from January 14th, 2015.
